Thank you to Pedroza's for hosting our meeting!! Also, thanks to those of you who attended- Jack Hale, Burchett's, Bell's, Cathy Cherry, Mueller's, Penn's, Smith's and Pedroza's and Painter's.
Minutes-
1- Unit banner- We need ideas for our unit banner. It will be used at all conventions during the Parade of Banners. We are the only unit that doesn't have one. It will represent each community in our unit (Albuquerque, Tucson, El Paso, SLC, Gallup). We need design ideas as well as a logo/image to represent SLC. Please email your ideas to Painter's by end of day Friday. Any idea is better than none!
2- SLC Audit- The SLC Catholic Diocese did an audit on our finances with the help and cooperation of Ken Burchett. The audit went great (DUH!
). Ken is doing a great job of managing our finances and we are so thankful to him for doing so! THANKS KEN!! WE LOVE AND APPRECIATE YOU AND ALL YOU DO FOR OUR COMMUNITY!
3- Caterer (Wriggle's)- Due to expense increases (gas, food, etc.) Mike at Wriggle's approached us about increasing our cost for them to cater for us. After a lot of discussion we agreed to pay $30 per person for weekends that have over 24 people (including the teams). For weekends with less than 24 people we will also pay a $20 delivery fee. We will do this on a trial basis to make sure it is meeting both of our needs and will re-evaluate if it does not. In the meantime, Cathy Cherry has agreed to contact other caterers/restaurants in the area to get other price quotes so we have a back up and Nate will contact the Catholic Business Network to see if he can find a lead as well. We will be re-evaluating our financial situation in Aug/Sept. so that if we determine we need to raise our registration fee for 2009 we will have it set prior to sending out registration forms in October.
4- Hotel rooms- It was brought to our attention that individuals attending the weekend have purchased their own room directly with the hotel in the past. We have added a paragraph/bullet to the Nuts and Bolts saying the following-
Rooms are assigned two men to a room and two women to a room. NO EXCEPTIONS! Please do not purchase your own room directly with the hotel or we must consider you removed from the weekend and you will not receive your certificate of completion. Also, please speak to your EE teams about problems/concerns with your room and we will work them out with the hotel. Do not go directly to the front desk.
5- Unit meeting- We are hosting the unit meeting here in SLC on the weekend of June 20th-22nd. The meeting will consist of discussion of the 2009 convention, a tour of The Yarrow Hotel in Park City, a team building activity, dinner and mass. The meeting itself is for the unit board only, however the tour, team building activity and dinner are open to the SLC community so please RSVP to Painter's and let us know if you can come and join us.
We discussed team building activity ideas-
- Park City- http://www.parkcity.com/listings.cfm?subcategoryID=142 (alpine slide/coaster, chuckwagon dinner, Heber railroad, ziprider, etc.)
- Utah Olympic Park- http://www.olyparks.com/uop/utah_olympic_park.asp (rides, tours, shows)
- Dance instructions at Murray Arts & Dance Centre- http://www.wrightwayenterprises.com/mac.htm (dance lessons in many genre options and a live band dance late into the evening)
Dinner location is TBA.
Room & Board hosts for weekend- Cherry's (2 couples), Burchett's (1-2 couples), Hale's?, Smith's?. Any one else who has an extra room to host please let us know. We will have 5 couples coming in from out of town that we need beds for. Also, anyone who can pick up/drop off at airport on Friday afternoon/eve and Sunday afternoon.
PLEASE GET BACK TO US REGARDING ALL OF THE ABOVE BY SUNDAY EVENING SO WE CAN GET THINGS IN ORDER!!
6- 2009 Convention in SLC-
-Penn's have a few locations in mind for the convention, however it was brought up at the last unit meeting (which they attended in our absence), that it would be great if we could "sell" this convention as a family vacation and hold it in Park City. Penn's have determined that the cost would be the same as having it in SLC except for the additional expense of transportation (shuttle is $68 per person r/t). They are going to take their proposals to the District Board who will have to approve the location. We will be touring The Yarrow with the Unit board at the unit meeting so they can give feedback to the District board.
-Convention Theme- An idea came out of the Unit meeting that we all liked- "Marriage Elevated". Hosting in Park City would definitely tie in with this theme. We have Nate's brother who is a graphic designer mocking up an image (mountains with a cross and wedding rings intertwined rising behind the mountains).
-Committee's- So far all committee's consist of SLC members only, we have reiterated to the rest of the unit that this is not a SLC convention and so have Pinon's and have told the Unit board to let their communities know that they must sign up for a committee by the middle of the month or they will be assigned one.
This is what I know thus far-
Veola- Speaker/Presenter Coordinator
Painter's- Marketing/Printing Coordinators
Allison- Food & transportation
Penn's- Convention coordinators & Location Coordinators
-Transportation- Allison will look into other transportation ideas through Deer Valley Resort where she works.
-Daycare- Allison will look into Deer Valley Resort summer camp counselors/babysitters.
I think that is it. If I missed anything, please let me know.
Frank- Will you please post these minutes on the blog?
Thank you and lots of love-
Painter's
